What You Will Do

  • Screen emails

  • Perform repetitive administrative tasks with a high degree of accuracy

  • Navigate and execute long checklists of items require to save and store for every transaction we process

  • Ensure the accuracy of all client and transaction info for each transaction (i.e. quality control)

  • Social media management - analyse relevant Instagram accounts, research hi- res images and repurpose posts to be posted as part of the MH brands social media goals on Instagram and TikTok

  • Ensure every new lead is followed up with by Matthew according to our systems

  • Manage Matthew's calendar, appointments, and schedule ensuring he stays on task and is never surprised by anything

  • Ensure that all new clients turn in all required paperwork on time and follow up as required

  • Marketing support - writing and scheduling of newsletters & blog posts

  • Creating CMA reports - prior experience of this preferred but not essential

  • Scheduling of showings

  • Assist Matthew with personal administrative work like making restaurant reservations, booking personal appointments etc

  • Maintain Xero accounting for Matthew Hoult Real Estate (training included)

  • Video editing - edit video content captured by Matthew and the team to create short form videos for Instagram & TikTok

  • Detailed research projects on new growth areas for the business to see us reach new heights

  • Actively take things off Matthew’s plate - pro-active initiative led nature is an absolute must

Experience / Skills You Need

  • Tech-savvy fast learner

  • At least two years of experience working for a US-based company during US business hours

  • Backup power and internet systems from your place of work

  • A dedicated, quiet space to work (not sharing workspace with family or other workers)

  • Fluent English

  • Fluent Spanish a plus but not required

  • Hours are approx 9am - 6pm PST time

  • Fast internet connection and fully functioning, modern computer system - Apple system

  • Previous experience working within US-based real estate a plus but not required

  • SUPER organised

  • Enjoy repetitive administrative tasks
